1. Who we are and what this policy covers

CF7 Toolbox operates cf7toolbox.com and provides addons for Contact Form 7. In this policy, "we", "us" and "our" refer to CF7 Toolbox. Our privacy contact details appear in Section 12.

This policy covers personal information we handle through this website, customer communications, purchases, accounts and licensing services. We are responsible for information where we determine why and how it is used. Other providers may have their own responsibilities and privacy notices, including Freemius for its checkout and related services.

This policy does not replace the privacy notice of a website that uses our addons. It also does not set out purchase, renewal or refund terms.

2. Information we handle

The information involved depends on your interaction with us. It may come directly from you, from your use of the website or software, or from providers involved in your purchase or account.

Inquiries and support
Your name, email address, message, website URL and any screenshots, files or technical details you choose to share.
Orders and accounts
Contact and billing details, order references, products purchased, payment status, subscription records and information needed to manage access or respond to an order inquiry.
Licensing and diagnostics
Depending on the addon and its configuration, license identifiers, activation status, website addresses, software versions and technical error information needed for licensing, updates or troubleshooting.
Website activity
IP address, browser and device information, requested pages, referring pages, access times and security or error logs generated when you use the website.
Preferences
Your cookie choices, communication preferences and records of consent or privacy requests, where relevant.

You can choose not to provide information. However, we may be unable to complete a purchase, manage a license or answer a request without the details needed for that activity.

3. How and why we use information

We use relevant information to operate the website, deliver purchased services, respond to questions, manage licenses, investigate errors, prevent misuse and maintain business records.

Where data protection law requires a legal basis, the basis depends on the purpose:

  • Contract: handling a purchase, providing access, managing a subscription or license, and delivering support connected with our agreement with you.
  • Legitimate interests: responding to general business inquiries, protecting the website, preventing fraud and improving reliability, where those interests are not overridden by your rights.
  • Legal obligations: keeping required transaction records and responding to valid legal requests.
  • Consent: optional tracking or marketing activities where consent is required. You can withdraw consent without affecting processing that was lawful before withdrawal.

Service messages, such as purchase confirmations, license notices and support replies, are separate from promotional emails. If you receive promotional emails from us, you can use their unsubscribe option or contact us. We will still send messages needed to provide a service or meet a legal obligation.

4. Payments, licenses and Freemius

We use Freemius for checkout and related customer, subscription and license services. When you use those services, Freemius and its payment providers process information needed for the transaction, billing, fraud prevention and service administration.

Freemius may share customer contact details and relevant order or license information with us so we can provide the purchased addon and assist you. Payment credentials entered in its checkout are handled through Freemius and its payment providers.

Freemius describes its own processing, retention and privacy request options in the Freemius Privacy Policy. You can contact us about information we hold and contact Freemius about information it controls.

Keep payment details out of support messages. An order reference and the email address used at checkout are usually sufficient to begin investigating a purchase inquiry.

5. Form submissions on websites using our addons

If you run a website using our addons, you decide what your forms collect and how you use that information. You are responsible for providing your visitors with an appropriate privacy notice and managing access, retention, exports and deletion.

Installing an addon does not, by itself, make CF7 Toolbox the controller of your visitors' form submissions. The data flows depend on the addon, your settings, your hosting and any connected services. Consult the applicable product documentation and service disclosures for storage and connection details.

License and update information is separate from the content people enter in your forms. If you send us a form export, database sample or screenshot for support, personal information in that material becomes part of the support information we receive.

Share only what troubleshooting needs

Use sample entries or remove personal details where possible. Do not send passwords, payment card details or unrelated customer records. If access to a live website is needed, agree the scope and access arrangements with us first.

If you submitted a form on another website, contact that website's operator about the submission. We may not hold or have access to that record.

6. Cookies and similar technologies

The website uses cookies or similar browser storage for functions such as remembering privacy choices, maintaining sessions and supporting security. Our cookie controls distinguish necessary functions from optional analytics and marketing categories.

  • Necessary: storage and services needed for core functions, security and saving your cookie preferences.
  • Analytics, when enabled: tools that help us understand visits and website usage.
  • Marketing, when enabled: tools used for campaign measurement or relevant advertising.

Where consent is required, optional tools should operate only after you agree to the relevant category. Use the website's cookie settings to accept, reject or change optional choices. You can also manage stored cookies through your browser; blocking necessary storage may affect some functions.

Linked websites and third-party services, including checkout, may use their own cookies and controls. Their privacy and cookie notices explain their practices. A choice on this website does not necessarily change preferences held by a separate provider.

7. Sharing information and international processing

Information may be shared where relevant to the purposes described in this policy:

  • Service providers: hosting, website security, email delivery, customer support and business administration providers that help operate our services.
  • Commerce and licensing providers: Freemius and the providers involved in payments, subscriptions and license administration.
  • Professional advisers and authorities: where needed for legal obligations, accounting, disputes or the protection of rights and security.
  • Business transactions: where information is relevant to a proposed or completed merger, acquisition or transfer of the business, subject to appropriate confidentiality and legal requirements.
  • At your request: where you ask us to share information or give permission for a specific disclosure.

We limit disclosures to information relevant to the purpose. Providers acting on our behalf are expected to handle it under appropriate contractual restrictions. Providers that determine their own processing purposes explain those activities in their own notices.

We and our providers may process information in countries other than your country of residence. Where applicable law requires safeguards for an international transfer, we use an appropriate lawful mechanism, such as an adequacy decision or approved contractual safeguards. Contact us for information about safeguards relevant to your data.

8. How long we keep information

We keep personal information for as long as it is needed for the purpose for which it was collected, including applicable legal requirements. The retention period depends on the type of record and the circumstances.

Inquiries and support
For the time needed to resolve the request and any reasonably necessary follow-up, service history or dispute handling.
Accounts and licenses
While needed to provide access and manage the customer relationship, followed by any period justified by legal obligations or unresolved claims.
Transaction records
For the period required by the accounting, tax and other legal requirements that apply to the record.
Logs and preferences
For limited operational, security or preference-management needs. Relevant records may be kept longer to investigate an incident or demonstrate a consent choice.

When information is no longer needed, we delete it or make it non-identifiable. Backup copies may remain until the relevant backup cycle expires. A deletion request does not require removal of information we must lawfully retain.

9. Security

We use reasonable technical and organizational measures intended to protect personal information against unauthorized access, loss or misuse. Access should be limited to people and providers who need it for their work.

No website, network or storage system can be guaranteed completely secure. Please protect your account credentials and avoid sending unnecessary personal information. We will assess suspected incidents and provide notices where required by applicable law.

10. Your privacy rights and choices

Depending on your location and the law that applies, you may have the right to:

  • Ask whether we hold personal information about you and request access or a copy.
  • Correct inaccurate or incomplete information.
  • Request deletion or restrict certain uses of your information.
  • Object to processing, including direct marketing.
  • Receive eligible information in a portable format.
  • Withdraw consent where processing relies on consent.
  • Complain to the relevant data protection authority.

Local law may provide additional rights, such as an opt-out from certain data uses, an appeal of a request decision or protection against discrimination for exercising privacy rights.

Send a request using the contact details below. We may ask for information reasonably needed to verify your identity and understand the request. We will respond within the period required by applicable law and explain any lawful limitation. You do not need to include sensitive identity documents in an initial request.

For information controlled by Freemius or by a separate website using our addons, contact that provider or website operator. We can clarify whether relevant information is held by us.

11. Children and changes to this policy

Children's information

Our website and services are intended for adults managing websites or purchasing software. They are not directed at children. If you believe a child has provided personal information to us, contact us so we can review the situation and take appropriate steps.

Policy updates

We may update this policy to reflect changes to our services, data practices or applicable requirements. The date at the top identifies the latest revision. For material changes, we will provide additional notice or seek consent where required. An update does not remove rights you have under applicable law.
